When you purchase fragrance compounds or essential oils in bulk, the Certificate of Analysis (COA) is your primary evidence that the material you received matches the specification you agreed upon. Unlike an IFRA Certificate (regulatory compliance) or an SDS (hazard communication), the COA is a quality document confirming that physical and chemical parameters of your specific batch fall within acceptable tolerances.
What Is a Certificate of Analysis?
A COA is a batch-specific document issued by the manufacturer or an accredited third-party laboratory. It reports analytical test results for a defined quantity of product, identified by batch or lot number. The COA confirms the product meets predetermined specifications at the time of release.
Key distinction: a COA reports actual measured values for a specific batch, not theoretical ranges. If your purchase order specifies linalool content of 35-45% for lavender essential oil, the COA should report the measured value (e.g., 39.2%) for the exact lot you received.
Essential Elements of a Valid COA
A complete COA for fragrance or essential oil products must include:
- Supplier/manufacturer name and address
- Product name and code matching your purchase order
- Batch/lot number traceable to production records
- Date of manufacture and date of analysis
- Reference to the test method or standard used (e.g., ISO, ASTM, internal SOP number)
- Individual test parameters with results and acceptance criteria
- Statement of conformity (e.g., “Complies with specification”)
- Name and signature of the authorized analyst or quality manager
- Laboratory accreditation details if outsourced (e.g., ISO/IEC 17025 accreditation number)
Critical Test Parameters for Essential Oils
For essential oils, the COA typically reports parameters tied to recognized standards:
Relative density (specific gravity). Measured at 20 degrees Celsius per ISO 279. For lavender oil (Lavandula angustifolia), the accepted range is 0.878-0.892 per ISO 3515. Deviations indicate adulteration or oxidation.
Refractive index. Measured at 20 degrees Celsius per ISO 280. Lavender oil should read 1.455-1.466 per ISO 3515. This detects dilution with synthetic carriers.
Optical rotation. Measured per ISO 592. Indicates enantiomeric composition and helps identify synthetic substitution.
Acid value and ester value. Measured per ISO 1242 and ISO 709. ISO 3515 specifies a minimum ester value of 100 for lavender oil, reflecting linalyl acetate content.
GC-MS profile. Per ISO 11024, the chromatogram identifies and quantifies individual components. For lavender oil, key markers include linalool (20-45%), linalyl acetate (25-47%), and camphor (less than 1.2%) per ISO 3515.
Peroxide value. Indicates oxidation state. Critical for citrus oils and carrier oils.
Critical Test Parameters for Fragrance Compounds
Synthetic fragrance compounds and blended oils require different COA parameters:
- Purity by GC (typically greater than 95% for single-aroma chemicals)
- Flash point (per ISO 2719 or ASTM D93)
- Color (Gardner scale or Hazen/APHA units)
- Water content (Karl Fischer titration per ISO 760)
- Odor description compared to an approved reference standard
- Heavy metals (lead, arsenic, mercury, cadmium) where required by specification or regulation
How to Use COAs in Incoming Quality Control
Step 1: Define specifications in your purchase agreement. Agree on exact parameters, test methods, and acceptance ranges. Reference ISO standards to avoid disputes.
Step 2: Verify the COA upon receipt. Match the batch number on the COA to the shipping label and purchase order. Confirm all parameters are reported and within range.
Step 3: Conduct confirmatory testing for high-value materials. For essential oils priced above $50/kg or products destined for cosmetics, send a retention sample to an ISO/IEC 17025-accredited lab for GC-MS verification.
Step 4: File COAs with batch traceability records. Under EU Regulation (EC) No 1223/2009, the Product Information File must contain quality evidence. Retain COAs for at least 10 years after the last batch is placed on the market (Article 11).
Step 5: Track trends over time. If COA values drift toward specification limits over consecutive batches, this may indicate sourcing changes or process variation. Address it before it becomes a failure.
