What to Look for in a Fragrance Factory Capabilities List

Every fragrance factory publishes a capabilities list, but the documents vary enormously in specificity. One factory writes “advanced production equipment” and lists nothing further. Another provides vessel volumes, line speeds, instrument models, and certification numbers. The level of detail in a capabilities document is itself a signal: factories that invest in precise communication typically invest in precise production. This guide tells you what to look for and what each data point means for your order.

Equipment: Beyond “Advanced Machinery”

A useful equipment list names specific assets and their parameters:

  • Compounding vessels: material (SS 304 vs. 316L), capacity (200 L to 3,000 L), agitation type, and temperature control. Match vessel range to your batch sizes.
  • Filling lines: type (gravity, piston, vacuum, peristaltic), speed in units per hour, compatible formats, and automation level. Piston fillers handle viscous products that gravity fillers cannot.
  • Capping and sealing: torque-controlled cappers (specify range, e.g., 5-25 lbf-in), induction sealers, and crimping machines.
  • Labeling: wrap-around, front-and-back, or print-and-apply systems. Placement accuracy of +/-1 mm matters at volume.
  • Packaging: cartoning machines, shrink-wrap tunnels, and case packers. Hand-packing suits complex gift sets but not 50,000-unit runs.

Ask for equipment age and maintenance schedules. Factories that list equipment by brand and model (e.g., “Bosch SVE 2510, installed 2022”) demonstrate transparency.

Certifications: Verify Scope and Validity

Look for:

  • ISO 9001:2015 (quality management system): the baseline. Check the scope statement on the certificate, it should cover “manufacturing of fragrance products” or similar, not just “trading.”
  • ISO 22716:2007 (cosmetics GMP): required if your product touches skin (perfumes, body mists, scented lotions). Covers personnel hygiene, premises, equipment, raw materials, production, QC, and documentation.
  • ISO 14001:2015 (environmental management): increasingly required by European retailers with sustainability procurement policies.
  • COSMOS / Ecocert / USDA NOP: for organic-certified products. The certificate must name the specific product categories covered.
  • BSCI / Sedex / SA8000: social compliance audits. Required by most EU and US retail chains. Check the audit grade (A, B, C, or D for BSCI) and the date. Audits older than 12 months may not be accepted.

Request certificate numbers and verify them on the issuing body’s website (e.g., SGS, TUV, Bureau Veritas registries). A factory that cannot provide verifiable certificate numbers within 48 hours may not actually hold the certifications claimed.

R&D Capacity

Evaluate:

  • Team size and qualifications: how many perfumers, chemists, and lab technicians? A team of 1-2 formulators can adapt existing formulas but cannot develop novel fine fragrance compositions. A team of 5+ with perfumery training can handle custom briefs.
  • Instrumentation: GC-MS (for raw material verification and formula reverse-engineering), flash point tester (Pensky-Martens or Setaflash), stability chambers (40 degrees Celsius / 75% RH per ICH Q1A guidelines), pH meters, density meters, and colorimeters. A factory without in-house GC-MS outsources every verification, adding 5-10 days per test.
  • Sample output: how many samples can the lab produce per week? A lab producing 20-30 samples weekly has different responsiveness than one producing 5.
  • Formulation library: does the factory maintain a library of proven base formulas? A library of 200+ tested formulations means faster development for standard products (diffusers, sprays, candles) because the lab starts from a validated base rather than from scratch.

Filling Capacity and Format Range

Match the factory’s format range to your product:

  • Volume range: can the line fill 5 mL (rollerball) through 500 mL (large diffuser)? Changing between formats requires changeover parts and time. A factory optimized for 100 mL bottles may charge extra or decline a 10 mL roll-on order.
  • Daily throughput: stated in units per shift. A single line at 3,000 units per hour over an 8-hour shift produces 24,000 units per day. Two lines double that. For a 50,000-unit order, that is 2-3 production days plus setup.
  • Compatibility: glass, PET, HDPE, aluminum, and ceramic each require different handling. Glass needs careful conveying to prevent chipping; aluminum requires different capping torque. Confirm the factory has experience with your specific container material.

Packaging Options

Determine what the factory handles in-house versus what is subcontracted:

  • In-house: label printing (flexo or digital), basic box folding and gluing, shrink-wrap, carton packing.
  • Subcontracted: rigid box assembly, hot-stamping, embossing, custom inserts (EVA foam, vacuum-formed plastic), gift set assembly.
  • Implications: in-house packaging gives the factory direct quality control and scheduling authority. Subcontracted packaging adds 5-10 days of coordination time and a communication layer. Ask who inspects subcontracted packaging and who bears liability for defects.

Export Experience

This is often the most underappreciated capability. A factory exporting to 30+ countries has encountered diverse regulatory and logistics challenges; ask specifically about your destination market. Confirm the factory can produce a full export document set (commercial invoice, packing list, BL, CoA, SDS per GHS, certificate of origin) without external assistance. For ethanol-based products above 24% ABV (UN 1266, Class 3), the factory must hold DG packing certification. Verify Incoterms fluency (FOB, CIF, DAP) and request container loading photos from recent shipments to confirm proper stacking, dunnage, and sealing practices.

Red Flags and Final Evaluation

Watch for: no specific equipment names or speeds, certifications listed without numbers or issuing bodies, “we can do everything” without specialization, no mention of QC instruments, and no export references. Photos that appear to be stock images (reverse-image search them) are a warning sign.

Score the capabilities document against your project requirements using a weighted matrix: equipment fit (25%), certifications (20%), R&D (15%), packaging (15%), export experience (15%), communication quality (10%). Validate the top two candidates with a factory visit or third-party audit before committing.
