A single container of defective fragrance products can cost $15,000-$50,000 in losses when you factor in product value, shipping, customs duties, and customer returns. When to Inspect

- Reed count incorrect (e.g., 6 specified, 4 found)
Minor defects (AQL 4.0):
- Minor cosmetic scratches on vessel (under 5mm, not on front face)
- Slight label misalignment (1-2mm)
- Minor print imperfections on non-primary packaging
- Dust or fingerprints on product surface
- Carton tape slightly crooked
Product-Specific Inspection Points
Reed diffusers:
- Oil level matches specification (weigh 10 random units; tolerance +/- 3%)
- Bottle seal integrity (invert for 30 seconds; no leakage)
- Reed length consistent (+/- 5mm of specification)
- Cap threading smooth, no cross-threading
- Fragrance matches approved reference (side-by-side comparison)
- No air bubbles trapped in liquid (indicates filling temperature issue)
Candles:
- Wax surface smooth, no sinkholes, cracks, or frosting
- Wick centered (within 2mm of center point)
- Wick trimmed to specified length (typically 5-8mm above wax)
- Burn test: light 3-5 random units; verify even melt pool within 2 hours
- Fragrance throw detectable at 1 meter when lit
- Container heat resistance (no cracking after 4-hour burn)
- Weight within tolerance (+/- 5g for a 200g candle)
Room sprays:
- Spray pattern: fine, even mist (test 10 units, 5 sprays each)
- Nozzle function: no clogging, dripping, or inconsistent output
- Fill volume verified by weight
- Cap fits securely (pull test: 2kg force, no separation)
- Alcohol content within specification (if relevant for shipping classification)
- No sediment or cloudiness in liquid
Car fragrances:
- Clip tension adequate (attach to 2mm and 4mm test strips; must hold at 45-degree angle)
- Heat stability: no deformation, leaking, or scent change after 70C/72hr test
- Adhesive strength (for stick-on types): 3M tape pull test
- Scented card print: full color registration, no smearing
- Packaging airtight (scent preservation during shipping)
Packaging and Shipping Inspection
Beyond product quality, verify:
- Carton quantity matches packing list (count 10% of cartons)
- Carton markings: shipping marks, product description, quantity, gross/net weight, carton dimensions
- Pallet configuration (if applicable): stack pattern, stretch wrap, corner protectors
- Barcode on outer carton scannable
- Fumigation certificate for wooden pallets (ISPM 15 stamp required for US/EU/AU imports)
- No mixed SKUs in single cartons (unless specified)
- Inner packaging: tissue paper, dividers, or foam inserts as specified

Handling Inspection Failures
If the inspection result is FAIL:
- Request the full report with photos within 24 hours
- Assess severity: Critical defects require full rework or order rejection. Major defects above AQL may be acceptable with a discount negotiation (5-15% price reduction is common).
- Notify the factory immediately with the report attached. Request a corrective action plan within 3 business days.
- Arrange re-inspection after factory rework: costs $200-$350 (typically charged to the factory if the original failure was their fault, per contract terms).
- Document everything for future reference and supplier scorecard.

Building Inspection into Your Workflow
For ongoing orders, establish this rhythm:
- Every order: pre-shipment inspection before balance payment

- Established SKUs with consistent history: inspect every 2nd or 3rd order, or randomly
- Always inspect after any factory change (new production line, new raw material supplier, new QC manager)
Include inspection rights in your purchase contract: “Buyer reserves the right to arrange third-party inspection at any point during production. Goods shall not ship until inspection passes or buyer provides written acceptance.”
