Private Label Home Fragrance for German Brands: Sourcing Guide

Private Label Home Fragrance for German Brands: Sourcing Guide

Private label is the fastest route for German brands, retailers, and agencies to launch a home fragrance line without investing in production infrastructure. Whether you are a drugstore chain extending its own-brand range, a lifestyle retailer adding candles and diffusers, or a startup building a direct-to-consumer brand, sourcing from a Chinese OEM factory offers competitive pricing and broad customization. This guide explains how to structure the program.

Why Private Label from China

German brands source private-label fragrance from China for three reasons:

  1. Cost: FOB prices for a 200 g soy candle typically range from USD 1.50 to USD 4.00, compared with EUR 4 to EUR 9 from European contract manufacturers.
  2. Customization: Chinese factories offer broader glass, cap, packaging, and fragrance options at lower tooling costs.
  3. Scale flexibility: MOQs as low as 1,000 to 3,000 units per SKU are common, making test launches feasible.

The trade-off is a longer lead time, typically 10 to 14 weeks from approved sample to German warehouse, and a greater need for compliance management.

Step 1: Define Your Range

A focused launch range performs better than a sprawling one. Common starting configurations:

  • 3-candle collection (200 g soy, three scents).
  • 2-diffuser collection (100 ml, two scents) plus refill packs.
  • Mixed gift set: 1 candle + 1 diffuser + 1 room spray.

Decide early whether you want a coherent scent story across SKUs, which simplifies fragrance testing and IFRA documentation, or distinct scents per format.

Step 2: Choose Your Factory Partner

Look for a factory with:

  • ISO 9001 quality management and, ideally, ISO 22716 (cosmetics GMP) for skin-contact products.
  • BSCI, Sedex, or similar social compliance audit.
  • In-house fragrance lab and IFRA-compliant formulation capability.
  • Experience exporting to Germany, including DIN EN 15493 testing and CLP artwork.
  • Documented REACH and SVHC compliance process.

Aromiso, for example, operates dedicated candle, diffuser, and essential oil lines with in-house QC and a compliance team that prepares German-market documentation as standard.

Step 3: Sampling and Approval

A typical sampling process:

  1. Brief the factory on scent direction, format, packaging, and target FOB price.
  2. Receive 3 to 5 fragrance options and 2 to 3 packaging mockups within 7 to 14 days.
  3. Approve a pre-production sample, usually within 2 to 4 weeks.
  4. Confirm lab testing (DIN EN 15493 for candles, flash point and SDS for diffusers).

Sampling costs typically range from USD 50 to USD 200 per SKU, often credited against the bulk order.

Step 4: Compliance Package

For the German market, your factory should provide:

  • DIN EN 15493 test report (candles).
  • CLP-compliant SDS in German.
  • IFRA certificate per fragrance.
  • REACH SVHC and Annex XVII statement.
  • UFI code and Poison Centre notification support.
  • German-language label artwork.
  • GPSR technical file and EU Responsible Person coordination.

Budget EUR 1,500 to EUR 3,500 per program for third-party lab testing if not included by the factory.

Step 5: Production and Quality Control

Bulk production takes 30 to 45 days. Build in:

  • An in-line inspection at 20 to 30 percent completion.
  • A pre-shipment inspection (PSI) at 80 to 100 percent completion, following AQL 2.5 for major defects and 4.0 for minor defects.
  • Burn testing for candles and leak testing for diffusers on retained samples.

Third-party PSI from SGS, Intertek, or QIMA costs roughly USD 250 to USD 350 per man-day.

Step 6: Logistics and Customs

Most German-bound shipments move by sea to Hamburg or Bremerhaven:

  • LCL (less than container load): economical below 15 cubic metres, USD 60 to USD 120 per cubic metre.
  • FCL 20-foot container: roughly USD 2,500 to USD 4,500 in 2025, depending on season.
  • FCL 40-foot container: roughly USD 4,500 to USD 7,500.

Add 19 percent German import VAT, customs clearance fees of EUR 80 to EUR 200, and inland trucking of EUR 300 to EUR 800 depending on destination.

Step 7: Retail and Online Launch

For retail listings, prepare:

  • EAN/GTIN barcodes (GS1 Germany membership starts at EUR 35 per year plus volume fees).
  • German product data sheets and high-resolution imagery.
  • Product liability insurance with at least EUR 5 million coverage.
  • EDI capability for chains such as DM, Rossmann, and OTTO.

For Amazon.de, register the EU Responsible Person, upload CLP-compliant imagery, and enroll in FBA or arrange 3PL fulfillment.

Cost Snapshot: A 3-SKU Candle Launch

For a 3,000-unit total launch (1,000 per SKU) of 200 g soy candles:

  • FOB product cost: USD 2.20 to USD 3.00 per unit, totaling USD 6,600 to USD 9,000.
  • Sampling and tooling: USD 300 to USD 800.
  • Compliance and testing: EUR 1,500 to EUR 3,000.
  • Sea freight (LCL): USD 800 to USD 1,500.
  • Customs, VAT, and inland: EUR 1,500 to EUR 2,500 (VAT recoverable for VAT-registered businesses).

Landed cost typically falls between USD 3.20 and USD 4.50 per unit, supporting retail prices of EUR 14.99 to EUR 19.99 with healthy margins.

Final Thoughts

Private-label home fragrance is one of the most accessible category expansions for German brands. The winners are those who treat compliance, sampling, and quality control as core parts of the program rather than afterthoughts. Aromiso supports German brands end to end, from fragrance brief to retail-ready, GPSR-compliant product, with MOQs and pricing designed for both boutique launches and drugstore-scale programs.
