Building a Candle Business on Etsy: Sourcing for Small Sellers

Etsy processes more than $13 billion in annual GMV, and home fragrance is consistently a top-five category by listing volume. For a small brand owner, it remains the lowest-friction channel to validate a candle concept: no wholesale minimums to hit, no buyer meetings, no slotting fees. But the channel is competitive — a search for “soy candle” returns over 200,000 listings. The sellers who build durable businesses treat Etsy as a sourcing and pricing discipline problem, not a craft hobby. Here is how to approach it.

Sourcing at small-batch scale

The most common mistake first-time sellers make is ordering 1,000 units of a single SKU before validating demand. The right starting position is 100–300 units across 2–3 scents, even if the per-unit cost is higher.

MOQ realities for small sellers:

  • Domestic US/EU candle makers typically quote 144–288 units per scent (one case to one pallet), with per-unit costs of $4.50–$8.00 for an 8 oz soy candle in a glass vessel.
  • Overseas factories (China, Vietnam) usually require 1,000–3,000 units per SKU for full custom work, but many — including Aromiso — offer 300–500 unit MOQs on stock vessel programs with custom labels and custom fragrance. Per-unit cost lands at $1.80–$3.50, but ocean freight adds $0.40–$0.90 per unit and lead time is 45–70 days.
  • Hybrid approach. Order 200 units of your hero SKU domestically for fast launch, then place a 1,000-unit overseas order once you have 30 days of sales data. This protects cash and lets you kill weak scents before committing container space.

What to specify in your RFQ:

  1. Wax type and blend percentage (e.g., 100% soy, or 70/30 soy-coconut).
  2. Fragrance load (6–10% is standard; over 12% causes weeping and poor burn).
  3. Fragrance oil supplier and IFRA compliance documentation.
  4. Vessel: glass type, capacity in ml, dimensions, lid material.
  5. Wick: cotton, wood, or zinc-core; size matched to vessel diameter.
  6. Burn time target (40–50 hours for an 8 oz candle is the market expectation).
  7. Label material and finish (matte, gloss, textured).
  8. Carton packaging and inner dividers for shipping.

A factory that cannot answer all eight in writing is not a partner for a brand business — they are a commodity supplier.

Product photography that converts

Etsy is a visual search engine. The first image determines click-through; images two through ten determine conversion. The minimum viable photo set:

  1. Hero shot on white or warm-neutral background, product centered, label readable.
  2. Lifestyle shot — candle lit, styled with complementary textures (linen, wood, ceramics).
  3. Scale shot — product next to a hand, book, or known object.
  4. Detail shot — wax surface, wick, label texture, vessel bottom.
  5. Packaging shot — gift box, tissue, branded insert.
  6. In-use context — on a nightstand, in a bathroom, on a desk.

Smartphone photography works for the first 90 days if you use a $40 lightbox and natural window light. Beyond that, budget $25–$60 per finished image with a product photographer, or $400–$800 for a full SKU shoot. Video listings (Etsy supports 5–15 second clips) lift conversion 15–25% in our customer data; a slow pan over a lit candle is enough.

Pricing for handmade positioning

Etsy buyers pay a premium for “handmade” and “small batch,” but only if the price signals match the story. The pricing math:

  • Landed cost per unit (product + freight + duty + label + packaging): typically $3.00–$5.50 for a small-batch 8 oz candle.
  • Etsy fees: 6.5% transaction + 3% + $0.25 payment processing + $0.20 listing. Roughly 10% of sale price.
  • Shipping: $6–$9 domestic US for a single candle, often absorbed or partially subsidized.
  • Marketing: 10–15% of revenue once Etsy Ads and Instagram spend are included.

A candle with $4.00 landed cost selling at $24 retail leaves roughly $24 - $2.40 fees - $7 shipping - $2.40 marketing = $12.20 contribution before labor and overhead. That is a 50% gross margin, which is the floor for a sustainable handmade brand. Below $22 retail, the math breaks for most small sellers.

Pricing signals that support premium positioning:

  • Round numbers ($28, not $27.99).
  • Bundle pricing (3-candle gift set at $72 vs. $84 individual).
  • Limited-edition seasonal drops with explicit scarcity (“200 units, fall harvest batch”).
  • A “story” section in the listing that names the wax source, the fragrance inspiration, and the pour location.

Scaling from Etsy to wholesale

Etsy is a validation channel, not a ceiling. The typical path:

  1. Months 1–6: Etsy-only, 100–500 units/month, focus on review velocity (target 4.8 stars across 100+ reviews).
  2. Months 6–12: Add a Shopify storefront to capture repeat buyers and email list. Etsy buyers convert to DTC at 8–12% if you include a branded insert with a discount code.
  3. Months 12–18: Approach 5–15 independent boutiques and gift shops with a wholesale line sheet. Wholesale pricing is 50% of retail — your $28 candle wholesales at $14, with a $150–$300 minimum order.
  4. Months 18–24: Apply to regional gift shows (NY Now, Atlanta Gift, Paris Maison et Objet for EU buyers). Booth costs run $2,500–$8,000; the right show can produce $20,000+ in opening orders.

The factory relationship has to scale with you. A supplier who quoted 300 units at $3.20 should have a published price break at 1,000 ($2.60), 3,000 ($2.20), and 10,000 ($1.85). If they do not, you will renegotiate from weakness every quarter.

Three operational rules

  • Never launch more than three scents at once. Each SKU splits your reviews and ad budget.
  • Hold 60 days of safety stock on your hero SKU once you cross 200 units/month. Stockouts on Etsy reset listing momentum and ad relevance.
  • Document your fragrance formula and supplier chain from day one. When a wholesale buyer asks for an SDS, IFRA certificate, or California Prop 65 statement, you need answers in 48 hours, not four weeks.

Etsy rewards sellers who operate like small manufacturers with a marketing arm, not hobbyists with a credit card. The sourcing discipline is the business.
